Your responsibilities

Part I: Responsibilities: Receivable Calls

  • Call customers for balances that are overdue.
  • Correspond with customers by email/telephone.
  • Complete AR tracking reports in Excel.
  • Assemble statements and send backup (electronic invoices) to clients.
  • Continue the collection cycle.
  • Receive payment advice and post in Sage 300.
  • Misc. computer work.
  • Updating customer and vendor contact information in different software platforms.
  • Provide daily reports/challenge reports for resolution.
  • Answer incoming calls and reply to customer inquiries.
  • General Administrative computer activities.

Part II: Responsibilities: Customer Service

  • Take orders over the phone.
  • Transcribe orders from the email into the software.
  • Liaison with internal staff to see if the product is available.
  • Create draft invoices on Xero the current accounting software.
  • Send customers email status reminders of their orders.
  • Make the final invoice in Xero.
  • Working with colleagues to arrange shipments to Amazon.
  • Interact with the accounting department to have invoices paid.
  • Send paid invoices to customers.
  • Post payments in Xero.
  • Creates the new client profiles on the COAT Ops share one drive.
  • Interface with the shipping department for shipments.
  • Electronically file all invoices.
  • Adds clients to Cliniko.
  • Creates COAT invoices using Cliniko.
  • Sends consent forms to new clients.
  • Receives refill orders by email or by phone from clients/ practitioners.
  • Makes follow-up calls to clients.
