Job Description

Reporting to the Recruitment and Learning Operations Team Leader, the incumbent will be supporting both Recruitment and Learning Operations activities. The coordinator will also provide general assistance to the HR Operations team. The coordinator will liaise and partner with onshore coordinators to seek guidance to ensure overall support to key clients and stakeholders. This role entails proficiency in English and is expected to coordinate with candidates, employees and other stakeholders in some countries in Asia.

Responsibilities

  • Provide administrative support to Talent Acquisition Team while developing an understanding of Manulife's products and businesses
  • Responsible for the centralized collection of approved hiring requisitions and posting of positions in Workday
  • Participate in the coordination of New Hire Orientation; reporting and tracking as required
  • Provide support with pre-employment screening checks by actively tracking the process of the checks, billing costs, etc.
  • Be a subject matter expert in Workday as it relates to template management (i.e. offer management)
  • Manage Recruitment Coordination Activities such as Interview Arrangement, Raise/Adjudicate Background Check, Facilitate On boarding and Orientation 
  • Assist with recruitment operations related special projects as assigned
  • Format job descriptions for internal/external and niche site postings
  • Coordinate and schedule Interviews between Applicants and Hiring Managers
  • Handle logistics for interview room reservations
  • Facilitate assessment testing to applicants
  • Initiate and complete pre-employment screening process, tracking, follow-up, and costs
  • Initiate and manage background checks by coordinating with applicant and background check vendor
  • Create and distribute employment offer letters and offer packages
  • Manage On boarding & Orientation process tracking & coordination (where & when applicable)
  • Align with other functional HR departments to ensure an effective flow of information and a consistent approach             
  • Acts as a full-time support for the countries assigned
  • Work with Learning Partners and Cluster Leads in arranging program schedules, requirements and logistics
  • Answer and manage AskHR tickets raised by Learning Partners and employees
  • Timely queue management
  • First line of escalation for tickets raised under Tier 2 and above
  • Compass management of training session requests from Learning Partners and employees
  • Create training sessions
  • Cancel and reschedule training
  • Create and maintain course calendar for distribution to employees
  • Upload course materials content for pre-training and post content to Learning Management System (Compass)
  • Organize the training/course materials
  • Manage end to end process for internal training programs
  • Post session administration (E-evaluation, etc.)
  • Schedule, order or print, scan and track learning documents for training support (pre-training preparations and post-session support)
  • Receive and coordinate reservation of resources required to deliver training programs (room reservation request, schedule room setup/tear-down & reserve training equipment, receive and request training related supplies and consumables). Confirm resource bookings and orders with Learning Partners
  • Work with learning vendors and suppliers to meet training needs
  • Generate periodic reports for learning partners and cluster leads
  • Initiate and monitor training related incentives, reimbursements, charge-backs or deductions
  • Approval process (reimbursements, requisitions, LOMA, ALU)
  • LOMA and ALU enrollments
  • Module translations (if necessary)
  • Module uploading and testing
  • Work with the other Learning Associates on the team in Asia to establish administrative processes as required
  • Other duties as assigned

Requirements

  • Graduate of a bachelor’s degree
  • 1-2 years HR experience preferably in training/administration/recruitment
  • Working knowledge of various policies and practices is a plus
  • Working knowledge of HR Systems such as Workday, Compass
  • Proficient in Microsoft Office Applications
  • Excellent oral and written communication skills in English
  • Excellent customer service skills
  • Well-developed time management skills with ability to handle multiple priorities; can work independently
  • Strong organizational skills
  • High attention to detail and accuracy
  • Strong sense of urgency and flexibility
  • Willing to work day shift
