Your role & responsibilities

The Administrative Assistant will provide administrative support to WWF-PH projects/units. They will liaise with the various project staff and partners and help communicate and coordinate the activities and directives from Management.

Detailed functions and responsibilities:

  • Provide administrative support on a day-to-day basis.
  • Coordinate and assist in the preparation of documents, materials, and logistics for various meetings, workshops, and conferences.
  • Make travel arrangements including coordination with different service providers and requesting Units (Van rental request, Plane ticket request).
  • Be responsible for the monitoring of service provider payments.

  • Help to source different providers.
  • Handle and facilitate important documents for signature, notarization, and other admin-related request.
  • Help to monitor the Company credit card, and service provider tracking/monitoring sheet.

Deliverables:

  • Administrative tasks are accomplished carefully and thoroughly, with appropriate questions asked when necessary to ensure that the job is done correctly.
  • Timely response and satisfactory completion of admin requests from projects
  • Timely renewal of relevant permits.
  • Efficiently routes documents to the appropriate party and retains a copy for follow-up to ensure completion of requests.
  • Timely payments made to suppliers and service providers.
  • Timely payments of billing statements.

Training & development

WWF employees can undergo training in conservation principles, environmental science, and biodiversity to enhance their grasp of the organization's mission and objectives. They may also receive instruction in effective communication, public speaking, and advocacy strategies to facilitate engagement with stakeholders, heighten awareness, and advance conservation initiatives.
